How much does software integration cost?

Understand what drives software integration cost, why mature systems can still be difficult to connect and what a useful estimate should include.

Two business systems connected through data mapping, retry and monitoring components beside estimate tokens

Direct answer

The answer in brief

Software integration cost depends on the systems, the quality of their APIs, the data and rules being connected, and the reliability the business needs. A one-way transfer through well-documented APIs can be relatively contained; two-way synchronisation with historic data, complex matching, retries and monitoring is a larger software project. Probeck needs to inspect the actual systems and workflow before supplying a price.

What affects software integration cost?

Cost factorWhy it matters
Number of systemsEach product brings credentials, data models, limits, test environments and supplier dependencies.
API availabilityA stable documented API reduces uncertainty; missing operations may require export, middleware or a different process.
AuthenticationTokens, delegated user access, renewal and permissions must be implemented and operated securely.
Data mappingFields rarely align perfectly. Formats, identifiers, required values and historic records need decisions.
Business rulesCreating, updating, matching, rejecting and escalating records can involve significant logic.
Direction and frequencyTwo-way or near-real-time synchronisation is more demanding than a scheduled one-way transfer.
VolumeLarge transfers need pagination, batching, performance controls and reconciliation.
ReliabilityRetries, duplicate prevention, logs, alerts and recovery routes turn a demonstration into an operational service.
Testing and environmentsRepresentative data, sandboxes and end-to-end scenarios affect what can be proved before launch.

Why can two mature systems be difficult to connect?

Each system may work well on its own while using different definitions, identifiers and rules. One CRM may require an organisation before a contact; another system may hold only a customer name. Dates, addresses, products and status values may not correspond.

Supplier APIs can also expose only part of the product. Plan level, rate limits, approval, webhooks, batch operations and test access all affect the design. A logo on an integration directory does not prove that your required workflow is supported.

What is the difference between one-way and two-way integration?

One-way transfer

One system is the source and another receives selected data. Ownership is clearer, although failures and duplicates still need handling.

Two-way synchronisation

Both systems can change shared records. The design must resolve conflicts, deletions, timing and which system wins for each field.

Do not request two-way sync merely because it sounds complete. If one system can remain authoritative, a one-way or event-based flow may be easier to understand and operate.

What should an integration estimate include?

  • The business event and outcome the connection supports.
  • Source, destination and ownership for each important field.
  • Direction, trigger, frequency and expected volume.
  • Authentication, plan requirements and third-party charges.
  • Matching, validation, duplicate and conflict rules.
  • Retries, logs, monitoring, alerts and manual recovery.
  • Historic import, reconciliation and acceptance testing.
  • Hosting, maintenance and response when an API changes.

Start with the process, not a generic request to “connect everything”. The guide to connecting a website to a CRM shows one common workflow, while when to automate a business process helps test the case.

How can you control integration cost?

  1. Define
Choose a valuable event and a clear source of truth.
  2. Verify
Check API access and sample data before promising the solution.
  3. Narrow
Transfer only fields and directions the workflow needs.
  4. Operate
Budget for monitoring, supplier changes and recovery.

Software integration cost FAQs

Is an integration platform always cheaper than custom code?

No. It can be faster for supported, straightforward flows, but subscription tiers, task volumes and complex workarounds can change the comparison. Assess the actual workflow and operating responsibility.

Can you quote from API documentation alone?

Documentation helps, but useful estimates also need account access, sample data, business rules, volumes and a view of the failure process. A short technical investigation may be appropriate.
