Which ongoing costs might apply?
| Cost area | What it covers | How it may be charged |
|---|---|---|
| Hosting and cloud | Compute, database, storage, delivery, backups and network services. | Fixed plan, reserved capacity or usage. |
| Domains and email | Domain renewal, DNS, mailboxes and transactional delivery. | Annual renewal, per user or message volume. |
| Maintenance and monitoring | Updates, health checks, security work, alerts and recovery readiness. | Retainer, managed plan or agreed scheduled work. |
| Software licences | CMS plugins, libraries, fonts, search, analytics or specialist services. | Monthly, annual, per user or per site. |
| Usage services | SMS, maps, AI, file processing, identity checks, storage and API calls. | Per message, request, record, transaction or usage band. |
| Commerce and stores | Payment processing, marketplace plans and developer accounts. | Percentage, transaction fee or annual account fee. |
| People | Support, content, administration, analysis and further development. | Included allowance, retainer, day rate or separate quote. |
Your project will not use every item. A straightforward brochure website has a different operating profile from a mobile app processing payments and sending thousands of messages.
What is the difference between running, support, maintenance and development?
Keeping it running
Infrastructure, domains, certificates and essential external services make the current product available.
Support
People investigate incidents, answer questions and help with agreed operational requests.
Maintenance
Planned work keeps software, dependencies, backups and controls healthy as the environment changes.
Development
New features and material improvements change what the product can do and normally need separate scope.
A managed plan may combine these services. Ask for the boundary instead of relying on labels. The hosting and maintenance comparison explains this for websites.
Which costs can grow unexpectedly?
Usage-based services deserve particular attention. Transactional email, SMS, maps, payment gateways, file storage, AI services and external APIs can be economical at low volume but rise as activity grows. Free allowances and introductory prices can also change.
- What unit creates a charge: user, request, message, transaction or storage?
- Which usage is included and what happens beyond it?
- Can budgets, alerts or hard limits be configured?
- Does price change by region, feature or service tier?
- Who receives invoices and monitors consumption?
- How can the service or data be moved if terms change?
How should you budget after launch?
- Inventory
List every account, licence and operational service. - Separate
Distinguish fixed, usage-based and optional work. - Model
Estimate normal and higher-usage scenarios. - Review
Check value, ownership and renewals at least annually.
Keep a contingency for supplier price changes and necessary compatibility work. Budget separately for roadmap features so routine care is not repeatedly displaced by new ideas.

For applications, discuss both initial delivery and operational ownership through App Development.
Ongoing digital cost FAQs
Does every app need a monthly support contract?
No. The appropriate arrangement depends on business impact, risk and internal capability. Every app still needs named ownership and a route for faults, security changes and supplier updates.
Are hosting and maintenance included in build cost?
Sometimes for a limited launch period, but never assume. Ask a proposal to identify included periods, renewal prices and service boundaries.
Where does future app development fit?
It is normally separate from operating the existing release. Review the original app development cost guide and maintain a prioritised roadmap.
